Entertainment Industry Business Challenge: In 1995, our client had a paper trail that was inefficient and costly. Its Accounts Payable department was receiving more than 500 invoices per week from a variety of vendors; employees were spending time searching for invoices; and workers were constantly faxing copies of invoices from the corporate office in Knoxville to its remote facilities. They also needed a solution for their Human Resource department, which handled approximately 2,400 employees. After a 5-year life of a very successful implementation of an Infotek document management solution, our client once again contacted Infotek to provide an updated solution that would meet the demands brought on by their phenomenal growth. Infotek’s Solution: After extensive discussions with our client, Infotek recommended a two-phase plan. Phase I involved the installation of a complete in-house imaging system, including EMC's ApplicationXtenderTM, ScanXtender ProTM, and DiskXtenderTM. This in-house system is what our client would use to scan, index, and manage their day-forward files. Phase II included Infotek's Conversion Services to scan our client's file backlog. They were experiencing a huge influx of documents from companies that they had acquired. After scanning, the images would be returned and imported seamlessly into their new EMC imaging system. Future expansion was also implemented in 2000 when our client opted to add EMC's WebXtenderTM to provide access of the imaging system to remote facilities via the World Wide Web; and WorkFlowXtenderTM to provide automatic processing of invoices via a preset workflow as identified by a team consisting of Infotek representatives and our client's accounting personnel. Additionally, when our client's stored documents began to fill up their jukebox, Infotek recommended an additional Plasmon jukebox to be operated by DiskXtenderTM storage management software to handle the additional images. Results: Our client has fully benefited from digitizing their files. Office space that was once required to store paper is being utilized to accommodate their growing staff. Currently, the company has three full-time scan operators that scan invoices and human resources documents for he 553 facilites and approximately 20,000 employees nationwide.
